How to Manage Inventory in a Small Shop

Connect product records, receiving, sales and stock checks in a practical small-shop routine.

Start with a dependable product list

Use a consistent name, SKU, category and unit for each item. Keep cost and selling price distinct. Count opening stock carefully and resolve duplicate product records before relying on recorded quantities. Decide who may add products or correct stock.

Record goods when they arrive

Compare received items and quantities with the purchase record. Record supported receiving against the right supplier and products so incoming stock has a traceable source. Investigate missing or damaged goods instead of recording the expected delivery as if it arrived in full.

Connect sales and returns to the item

Record each sale against the product actually sold. Use the supported return workflow for returned goods and check whether the item should be available for sale again. The product, quantity and transaction explain why recorded stock changed.

Investigate differences before adjusting stock

Compare recorded stock with physical counts. Check unrecorded receiving, sales, returns and product mix-ups before making an adjustment. Record supported corrections with enough context for the next person reviewing the quantity.

Use low-stock information as a prompt

Review items needing attention, their current physical quantity and expected demand before purchasing. Low-stock information depends on the entries being current; it is not a purchasing decision by itself.
